What are reports?
Reports are internal documents generated from your estimate for your own records and use. They are not intended to be sent to clients — for client-facing documentation, see Tender Summary.
Reports are accessed from the Select Reports button on the summary table (Stage 5) of your job.
Reports cover everything from material lists for wholesaler quotations to detailed cost breakdowns for procurement. Bills, covered in the next guide, are for producing your client quotation.
Accessing the Select Reports menu
- 1
Navigate to Stage 5 — Summary Table of your job.
- 2
Click the Select Reports button at the bottom of the summary table screen.
- 3
A list of available report types is displayed. Tick the reports you would like to generate, then click Preview and Export.
When you select multiple reports, they are generated in sequence. After viewing each report in the preview window, press Exit to move on to the next one.
Available report types
Summary table report
This is a direct printout of the summary table screen — a complete overview of your material categories, labour costs, markup, overheads, and profit. It is useful for keeping a record of the job's financial breakdown at a particular point in time.
Material summary
The material summary lists every item in your estimate with product codes, descriptions, quantities, and units of measure. It is available in several variations:
- Priced — includes unit rates and total material costs. Keep this version for your own records so you can compare against wholesaler quotations.
- Unpriced — omits rates and costs. This is the version to send to your wholesaler (such as Rexel or Edmundson's) when requesting a quotation.
- Sectioned — breaks the material list down by your sectional structure (e.g. ground floor lighting, first floor small power).
- Unsectioned — combines all materials into a single accumulated list regardless of section.
When sending a material list to your wholesaler, use the unpriced version. Keep the priced version for your own procurement comparisons.
Estimate summary
The estimate summary provides a labour-material split breakdown of the entire job at cost value rather than at sell price. This report often spans multiple pages — use the navigation arrows at the top of the preview window to move between pages.
This report is helpful for understanding the true cost structure of your estimate before markup is applied.
Labour reports
Labour reports give you a breakdown of the hours and days required for the project. You can view how many engineers are needed and how long the project will take at various productivity levels.
Tender profit summary
The tender profit summary shows the exact amount of money and profit percentage you should be making from each section. This is useful for reviewing profitability across different areas of the job before submitting your tender.
Cost code breakdowns
If you have cost codes enabled, you can generate cost code breakdown reports for reading into other systems for procurement or project management purposes.
Sectioned vs unsectioned reports
Several report types offer both sectioned and unsectioned options:
| Option | What it does |
|---|---|
| Sectioned | Generates a separate breakdown for each section in your structure, with subtotals per section |
| Unsectioned | Combines all data into a single list, useful for an overall summary |
Choose the option that suits your purpose. For example, a sectioned material summary is helpful if you are ordering materials floor by floor, whilst an unsectioned summary gives a complete picture for a single bulk order.
Supplier-specific reports
You can generate separate material reports for different suppliers. For example, if your electrical materials come from one wholesaler and your mechanical materials from another, you can produce individual reports for each rather than generating everything onto a single list.
Saving reports as favourites
If you regularly generate the same combination of reports, you can save your selection as a favourite for quick access in future jobs.
- 1
Open the Select Reports menu.
- 2
Tick the reports you use most often.
- 3
Click the Favourites option at the bottom left of the Select Reports menu.
- 4
Save your current selection. The next time you open Select Reports, you can load your favourites instead of selecting each report individually.
Favourites are shared across your team, so setting them up benefits all colleagues who use the same Ensign installation.
Exporting reports
Any report generated in the preview window can be exported for your records. For full details on export formats and the save process, see Exporting and File Formats.
